
Job Opportunity: Administrative Manager for the Ukrainian-Danish Youth House

About us:
The Ukrainian-Danish Youth House (UDYH) is implemented by the Danish Cultural Institute (DCI) in consortium with the Danish Youth Council (DUF), with the support of the Ministry of Foreign Affairs of Denmark. The overall goal of the programme is to strengthen a diverse, inclusive, and resilient youth-led civil society that actively participates in the democratic recovery of Ukraine.
We pursue this through direct support to youth-led organisations, via a sub-grant programme and through partnerships where projects are designed and led by young people, for young people. Alongside this, we operate two physical youth houses in Kyiv and Mykolaiv, offering space for events, organising, and work, as well as cultural programming that bridges Ukrainian and Danish culture. In 2026, we are expanding our reach to include support to youth spaces in frontline regions, where access to culture and civic life is most constrained.
Responsibilities:
- Oversee the overall administration and daily operations of the Representative office of the Danish Cultural Institute in Ukraine (hereinafter – the Representative Office) and the UDYH programme;
- Oversee office management, including facilities, supplies, and service providers;
- Manage staff logistics, including travel arrangements and accommodation, etc;
- Oversee travel and accommodation logistics for UDYH programme participants in collaboration with the logistics provider;
- Oversee procurement processes, run the tenders, evaluate bids, conduct due diligence, and onboard suppliers in compliance with internal procedures;
- Draft, review, and manage service contracts, ensuring terms, deliverables, timelines, and compliance requirements are clearly defined and met;
- Serve as the main point of contact for suppliers, maintain strong working relationships, and resolve issues or disputes as they arise;
- Develop and manage admin/infrastructure budget;
- Oversee petty cash funds and corporate bank card usage, maintaining proper documentation and accountability;
- Support HR-related administrative processes, including recruitment, onboarding, contracts, and personnel records;
- Ensure smooth administrative support to staff and a well-functioning office environment;
- Support international staff with relevant documentation, including visa, temporary residency permits, etc;
- Provide legal support on operational and programmatic matters related to the Representative Office and UDYH programmes;
- Other duties as assigned.
Professional qualifications required:
- Relevant completed Bachelor’s or Master’s degree; education in Accountancy will be an asset;
- Minimum 2 years of experience in similar positions;
- Experience with operational coordination;
- Understanding of financial procedures and reporting basics;
- Understanding of legal processes, contract management, and documentation;
- Knowledge of Ukrainian legal/administrative systems;
- Strong command of written and spoken Ukrainian and English (minimum intermediate);
- Experience of working with international development and/or civil society.
