Job Opportunity: Administrative Officer for the Ukrainian-Danish Youth House

Are you a professional who can deal with multiple tasks and knows how to manage documents?

We are looking for a person for temporary maternity cover for our administrative team in Kyiv. You will help us make sure that the machinery in our organization is working smoothly with our legal, financial, and administrative processes! We are looking for someone who is structured, well-organized, has a good take on numbers, and a high sense of responsibility. You will be a core member of the team, coordinating with our colleagues in Kyiv, Mykolaiv, and Copenhagen, and will be involved in many varied processes and tasks. As a part of a workplace that is very dedicated, you will contribute with very important work that makes it possible for us to support Ukrainian youth through the full-scale invasion.

The Ukrainian-Danish Youth House is a platform for young people from Ukraine and Denmark that supports youth participation, democracy, and creativity. We offer a creative, democratic platform to support youth projects, culture, and activism across our countries, with two free available youth spaces in Kyiv and in Mykolaiv, with our flagship training, international seminars, and grant program. The Youth House is formally steered by a consortium consisting of the Danish Youth Council and the Danish Cultural Institute.

Start date: 8 January 2025

Duration: 8 months with possibility of extension

Responsibilities:

  • Support the program team with implementing activities: liaise with the logistics companies, book accommodations, catering, etc;
  • Liaise with legal service providers on legal issues related to UDYH operation;
  • Manage a corporate bank card and Petty Cash box and monthly reporting on expenses;
  • Process the reimbursement of the small expenses to UDYH staff and/or participants of the UDYH events;
  • Process office-related purchases: stationaries, kitchen supplies, etc;
  • Manage the corporate/civil agreements with UDYH service providers;
  • Collect and file official documents such as invoices, acts, contracts, agreements, etc;
  • Work with internal processes in the team;
  • Representing the values and mission of the UDYH towards the visitors and community of the physical Youth House
  • Other duties as assigned.

Qualifications required:

  • Relevant completed Bachelor’s or Master’s degree; education in Accountancy will be an asset;
  • Minimum 2 years of experience in similar positions;
  • Base in Kyiv;
  • Strong command of written and spoken Ukrainian and English (minimum intermediate);
  • Ability to handle (and complete) a wide variety of tasks;
  • Experience with administrative tasks and Excel; experience in working with legal documentation will be an asset;
  • Stringent and professional approach to tasks and guidelines;
  • Experience working with NGO’s, youth engagement, or public sector is an asset;
  • A strong drive for positive changes and an inclusive society.
